  • Overview

    SMBC is seeking a Records Supervisor, who will be  responsible for overseeing and verifying the daily processing, tracking, cataloging, reporting, and storage of the Bank's physical and electronic legal documents into the Bank's vault and electronic Document Management system.

    Responsibilities

    The Records Supervisor maintains the content management process and ensures it runs accurately and smoothly.

    Assists Senior Team leader with review of the analysis and assemblage of loan documentation coming from ECG Loan Documentation Analyst team before Records Administrator processing.

    Distributes daily work assignments and supervises workflow of Records Administrators. Reports to the Senior Team Leader.

    Verifies and manages the workflow of Records Administrators for accuracy and capacity, including filing, imaging, classifying and safekeeping documents of all the Bank's lending, deposit, trade finance, treasury and vendor related documentation into the Document Management System (DMS).

    This is a tactical and transactional role whose primary focus is on daily deliverables with full discretion to approve routine operational activities, but refers unique or complex issues to Senior Team Lead or managers.

    Maintains a record of transactional deals and customer documents received by the department. Creates and distributes monthly volume reports.

    Tracks and distributes reports of pending maturity dates of documents to verify their expiration.
    Monitors vault contents to ensure folders are accurately tracked.
    Assists staff with daily use of technology programs.

    Assists Relationship Managers with retrieval of documents through DMS.

    Assists and responds to general support inquiries from DMS user community on functionality and DMS access.

    Support and conduct Business Continuity Process (BCP) and per SMBC policy and procedures.

    Qualifications

    Minimum 2-5 years of comparable or relevant experience working with document storage systems and processing of loan documents.

    Highly developed sense of accountability and follow through with ability to effectively prioritize multiple tasks, projects and goals.

    Detail oriented with an ability to complete work accurately.

    Strong computer skills.

    Able to work well autonomously and be a complete self-starter.
    Strong verbal and written communication skills and an ability to work quickly and accurately in a high-pressure environment.

    Excellent customer service and analytical skills
